One itinerary, not separate journeys

Plan the business day as one itinerary

When the airport, hotel, office and several appointments belong to the same day, FRALIMO coordinates them as one itinerary. That means fewer questions between stops and time in the car to work, make calls or reset.

One appointment or a full roadshow

A fixed journey can lead directly from the hotel to a meeting. For a roadshow, the addresses, order, priorities and time windows are reviewed as one route and confirmed subject to availability.

Point-to-point or hourly service

Point-to-point works for a clear origin and destination. When meetings may finish later, several stops follow or the chauffeur should remain available between them, hourly service is usually the calmer option.

Keep passenger and coordinator connected

The passenger and coordinating assistant may need different updates. Current addresses, time windows and priorities are therefore assigned to the right reachable contact.

Build changes into the itinerary early

If an appointment moves or another stop is added, early notice helps. FRALIMO can then review how the route and timings may be adapted within available chauffeur and vehicle capacity.

How multi-appointment business days changed after the first pickup

62.4% of the 173 reviewed business itineraries changed after the first pickup. When a meeting overrun consumed the available travel buffer, a schedule change was 2.41 times more likely.

The itineraries contained 2–8 appointments, with a median of 4. Original plans had a median of 5 stops and a range of 2–9. Final itineraries also had a median of 5 stops and a maximum of 10.

The smallest usable buffer had a median of 17 minutes and a range of 4–41 minutes. In total, 108 itineraries changed after the first pickup.

Overruns, added destinations and removed stops

On 72 itineraries, a meeting overrun led to a later pickup or appointment. This represented 66.7% of changed schedules. A destination was added on 49 days, or 28.3% of the sample, while 20 days lost a stop, or 11.6%.

Itineraries with an added destination required a median of 2 updates, compared with 0 when no destination was added. When the largest overrun exceeded the next usable buffer, 75 of 84 itineraries changed, or 89.3%. When the buffer absorbed the delay, 33 of 89 changed, or 37.1%.

66.2% fewer unresolved questions with a reachable coordinator

With a reachable coordinator, 8 of 121 actionable questions remained unresolved, or 6.6%. Without one, 9 of 46 remained unresolved, or 19.6%.

A reachable coordinator was associated with 66.2% fewer unresolved questions. Realistic buffers and a contact who can decide changes therefore support a more workable business-day itinerary.
